Hiring a VA Won’t Help—Unless You Do This First
A VA will save you 2 hours a day, that's 40 hours + per month. But here is what you need to know about working with a VA:
1. Audit What Distracts You Most
Notice the tasks that interrupt your flow or drain your energy. Pay close attention to your schedule to understand when you are distracted the most, by what, and how often. Keep a tally each week to identify new distractions.
Awareness is the first step.
2. Record a Quick Loom Video of the Process
Your VA won't always have the background to understand what they're solving and why. You don't need a write an SOP—just hit record and talk through how you do it. Make a video where you walk through every single step. ( You can use any app of your choice)
3. Store Videos in Notion [or preferred tool]
Upload videos to a Notion page with additional instructions. Email templates to respond to prospects and customers, Links to this or that, Tone and Etiquette guides, etc. Organize once, reuse forever. This becomes the start of your delegation system.
4. Spend Quality Time with your VA
Spend your first few weeks or a month working together 1:1. Meet regularly, give direct feedback and listen if they have suggestions. Proactive and resourceful VAs make your processes 10⨉ times better.
5. Introduce a Trigger-based System
One of the smartest methods to save time here you grant inbox access to your VA. Every relevant email is organized into a spreadsheet with dropdown menu (sender, subject and summary). You can now select an action such as 'Reply', 'Schedule a Call', 'Decline', etc. Once the slection is made your assistant carries the task accordingly.
6. Review Weekly
Every single week, something happens that you and your VA aren't prepared for. A new type of inquiry leads to a new video, new templates, and new triggers. So you build them out together.
That's a repetitive process that gets better every single week!
